Transitioning to video meetings with group sessions

Many customers have reached out to us the last few weeks, talking virtual meetings. How do they switch their face-to-face meetings in OnceHub to Zoom meetings or other video conferencing options? If they're meeting multiple people at once, how are virtual group sessions handled differently than face-to-face group sessions?

Oncehub seamlessly integrates your booking activities with your group appointment scheduling app, covering all phases of the booking lifecycle, including cancellation and rescheduling. Video conferencing details are included in all Oncehub notifications.

When you want multiple people to sign up for the same time slot, meeting together in a virtual group session, it's simple to transition them to meet through video meetings rather than in person. Each attendee receives the same unique link for that meeting and, if configured, the meeting password (always recommended, to secure your meeting from unexpected visitors).

Each person receives the same meeting ID, password, and link to join, while their data is kept private from everyone else.

If an attendees cancels or reschedules their booking, they receive notifications confirming either the canceled booking or the new conferencing information for the rescheduled group session. This update is private to that attendee and you. No other attendees will be aware of another's change, nor will their conferencing information change for the original booking time.

Transitioning to video meetings in OnceHub

If you’ve been using Oncehub to book face-to-face group sessions and would like to switch those group sessions to video meetings instead, the steps are simple. It’s a matter of minutes to transition from one to the other:

  1. Connect to our native video conferencing integration.
    Learn more about connecting to Zoom, Google MeetGoToMeeting, and WebEx.
  2. Configure your Booking page(s) to use video conferencing.
    Every Booking page can offer a different location, whether virtual or physical. You’ll want to set up a virtual location and follow the steps to specify your video conferencing integration. Learn more
  3. You’re all set!
    When a booking is made, video conferencing session details are integrated with all Oncehub notifications and a video conferencing session for Zoom, Google Meet, GoToMeeting, or WebEx will be created automatically.

    Your customers will receive all connection details in the scheduling confirmation page, in the scheduling confirmation email, and in the calendar invite.

Note: You don't need to change your group session settings; these stay the same whether you're meeting face-to-face or virtually.
